Recreation Committee Draft Minutes of Meeting - March 16, 2010
  Chairperson Pam Kahn opened the meeting at 7:00pm.
  •  Pam asked the committee to introduce themselves to Nicole Jorgensen, the new Recreation Manager, and tell why they joined the committee.
  •  Ralph Graf introduced Nicole Jorgensen, new Recreation Director and had her say a few words.
  •  Nicole gave an update on the Victory Garden from the subcommittee meeting this morning.  Linda D. put forth the following motion:  Use the Har-tru tennis courts as a temporary community Victory Garden.  The motion was passed unanimously.  Pam K. filled out the report for the Board of Directors.
  •  Summer Camps:  Nicole, Ralph and Donna Kiely are meeting with Little Acres Learning Center this week.  The decision has not been made to outsource the summer camps yet.  It would be a more cost effective way to run our camps if it works out and we would actually make money on rental of the ski lodge.  There may also be a possibility of expanding into after school and day care services as well.
  •  Clocks at the Pools:  Ralph asked Nicole to order clocks for the pools.  We will have them mounted and secured so they can’t be stolen.
  •  American Flag for swim meets:  Ralph has an American Flag that he will give to the staff.  He will have Maintenance build a flag stand to be used for swim meets.
  •  Campfire on beach/Tiki Bar:  Recreation staff will look into planning a few beach campfires this summer.  The security issue can be addressed by having our security staff on hand as well as notifying the fire department. 
  •  Status of Nail Salon:  Ralph interviewed 3 or 4 people and the consensus is that the room is too small for a nail salon.  He recommends that we revisit the idea of a juice bar in that area.
  •  Recycling:  Ralph is working on getting recycling bins at the pools, beaches, recreation, and all other amenities for the summer.
•  Adult Game Room:  The Adult Game Room on the lower level of the Clubhouse is almost done. There will be 2 pool tables, darts, flat screen TV, bar area, shuffleboard, high top tables and a counter around the room for drinks and food.  The liquor license has been expanded to all areas of the lower level with the exception of the pro shop.  The liquor license also now covers the golf course. This means all kids under 21 will need to be accompanied by an adult.  The estimated opening date is the end of April.  There will be a pub menu downstairs.  Lorrie T. asked if we can look into a dumbwaiter for that area.
  •  Ski Hill Issue:  Lorrie and Bob’s son had a yearly membership pass on his arm and it got caught on the tow-rope. This could be very dangerous.  Nicole will look into other possibilities for next year.  Maybe something clips onto the jacket instead of around the arm.
  •  Raffle update: Raffle is going slow, but we are still doing well and will continue to push it.
  •  Mini-Golf:  Nicole updated on the minigolf.  Recreation would like to move mini-golf over by the main lodge where it would be utilized more and after the Victory Garden moves out, get the Har-tru courts up and running again.  Bob will e-mail the chairman of the Long Range Planning board to see if this needs to be put into the long range plan.
  •  Library on Beach:  Chris asked if we can start a beach library.  All we would need is a bookcase with wheels and we can use the more “used” paperbacks that have been donated to the library.  Nicole will find out if we have an extra bookcase around and if Maintenance can put wheels on it. This seems like a relatively low-cost idea. We do have a need for Children’s books so we will have to get that word out as well.
  •  Movies for Adults:  Debbie reported that the projector in the Rec Center is now working and just needs to be tested out.  The Rec staff will look into adding an adult movie night for the summer.
  •  Communications to Members:  Everyone agreed that Recreation does a good job communicating via facebook, the website, the Hideabout and Hideabout Extra, the TV, and various bulletin boards around the community.  Debbie has gathered information sheets like our Hideabout Extra from other communities in the area and we do so much more than they do in our communication.  Nicole suggested a Recreation Department facebook and twitter page and will look into that possibility.  Rec will look into opportunities for more bulletin boards around the community.
  •  Stagger times for events:  Recreation staff is working towards what is best for the entire community when it comes to scheduled events. If anyone has suggestions on how events can be moved around and scheduled without disrupting the flow of things, they are welcome to meet with Nicole to discuss.
  •   Egg Dips-Debbie will look into doing a second egg dip on a weekend morning before the pool opens.  They can’t be done at night because there are no lights and it would not be beneficial to the community to close the pool early on a weekend evening to hold the event.
  •   Farmer’s Market-Victoria Barcarola and her group interested in the farmer’s market will look into insurance and licensing requirements and report back to the Recreation Committee when they have gathered the information.
  •  Pam asked that members of the Recreation Committee contact her directly if they cannot make a meeting, so we know in advance if we have a quorum.
  •   Coffee Machine-the lodge has an extra automatic coffee machine that will come over and be placed near the Fitness Center.  Debbie is working on getting it over here.  If we do decide to go with a juice bar, the coffee area will become part of that.
  •   Tutoring Update:  Chris mentioned that so far no kids have come for tutoring.  One person did sign up, but then they cancelled at the last minute.  Debbie asked that Chris create a list of information the tutors would need in advance so Recreation makes sure to ask the right questions.  Recreation will call Chris if someone signs up, otherwise they will not come in that day.  It was suggested that there be a later tutoring session (7pm).  Someone called wanting to volunteer so this may be a possibility.
  •   Smoking on beaches and at pools:  There is currently no smoking in the pool areas.  It was decided that there is not an easy way to enforce no smoking on the beaches or enforcing a designated smoking area on the beaches.  It will be recommended to the Security Committee to look into this issue.
  •   Bob T. reported that the budgeting for 2011 starts in June so we should look at our wish list next meeting and decide what we want Nicole to put into the budget. 
  •   Remote for TV in FC:  It was brought up that the FC doesn’t have its own TV remote.  Debbie explained that the remote is about $1000 plus the cost of programming.  The company that installed the system in the Rec Center is putting together a proposal so we will have an exact cost.
  •   Jr. Golf:  Nicole is looking into starting the Jr. Golf program up again.  There was consensus that it should not be free and it should involve both a training and a competitive aspect.  If anyone is interested in helping, please contact Recreation.
  •   Bob T suggested that Nicole look into adding $8000 in the 2011 budget to hire a designer to create a conceptual plan for better use of the four areas the Dam project will tear up. (About $2000 for each area).
  •   The next Recreation Committee meeting will be held on 4/17 at 10am.  Pam Kahn ended the meeting at 8:45pm.

Recreation Committee Draft Minutes of Meeting - 12/12/09 and 1/30/10Attendance:  Pam Kahn, James Carroll, Linda Dimitrakakis, Lynn Schaefer, Stan Schaefer, Bob Taggart, Lorrie Taggart, Debbie Dahmer (Hideout Recreation Department). Excused: Andrew Miller (President BOD: Recreation Committee Liaison), Steve Corma, Eileen O’Sullivan, Linda Jo Newman, Diane Armato, and Marsha Goldstein.  Chairperson Pam Kahn opened the meeting at 10:09pm.  November 2009 Recreation Minutes were approved.
•  Mrs. Kahn discussed that Ralph Graf and the Board wants all Ski Hill, Golf, and Recreation activities to be funneled through Recreation Department.  This will prevent over scheduling of multiple events being planned at same time. Discussion of Roamingwood Park and the possibility of removing boats to install an extended picnic area. Long Range Planning Committee wants everyone’s opinion on this topic.
•  Stan Schaefer asked Debbie Dahmer to talk to Ralph about her idea of putting a community garden at the Campgrounds.  Har-tru courts will be used for children’s activities in winter.
•  Debbie stated she has an “introductory golf program for girls” planned in the future.  She is working on the details of her proposal to move the Mini-Golf and Har-tru tennis courts behind the Clubhouse to the Lodge Tennis Courts and vice-versa. This, combined with the existing tennis courts will put four tennis courts together in the Clubhouse/Recreation Complex area. This will encourage more people to play longer because of additional volumes of people to play against from other courts.
•  Motion Passed: Stan Schaefer made a motion that Mini-Golf and Har-tru tennis courts behind Clubhouse be moved to Lodge Tennis Court area and vice-versa. Motion passed unanimously.
•  Motion Passed: Lynn Schaefer made a motion that “the Recreation Committee supports Debbie Dahmer, based on her performance, knowledge, and qualifications for the new job position of Recreation Activities Coordinator.” Two members abstained from voting but all other members present were in favor.  Motion was passed.
•  Debbie said that the Discovery Toy Party held the Sunday after Thanksgiving to gather toys for new Recreational Complex Tot Room went ok.
•  Debbie requested volunteers to help Friday 12/18/09 at 11am to organize toys and tools in the new Tot Room.
•  Debbie said that the “unofficial” opening weekend after Thanksgiving of the new Recreational Complex was a good first weekend. Game room machines were only turned on when people came in to save electricity. People must sign in to use the Recreational Center. Judy from Maple City would donate things for the Rec Center for the weekend after Christmas. Debbie would like to show a Christmas Movie DVD for kids. Wii machines will need component and composite cards.
•  Bob Taggart and Long Range Planning have been in talks with the gentleman who is handling the proposed new dam construction. 
•  Mrs. Kahn would like to see Facebook updates on Hideout Facebook Page to happen more often and also stated  “The earliest a possible Ski-Swap can happen is in the spring.”
•  Next Recreation meeting is Sat., January 30, at 10am. Pam Kahn ended meeting at 11:20am.

Recreation Committee Minutes – Sat. January 30, 2010
Attendance:  Pam Kahn, Diane Armato, James Carroll, Linda Dimitrakakis, Bob Taggart, Lorrie Taggart, Ashley Taggart, Ed Sparkowski  (Representative between POA, the Campgrounds and Recreation, Debbie Dahmer (Hideout Recreation Department). Excused: Andrew Miller (President BOD: Recreation Committee Liaison), Steve Corma, Lynn Schaefer, Stan Schaefer, Eileen O’Sullivan, Linda Jo Newman, Marsha Goldstein, and Joanne Chiarrella, Chairperson Pam Kahn opened meeting at 10:10pm. December 2009 Recreation Meeting Minutes were approved.
•  Mrs. Kahn informed us that volunteers are needed during Presidents Week to sell raffle tickets for the bouncy house.  Over $900 in tickets have already been sold. Art Committee is doing a Chinese raffle.  Mrs. Kahn addressed updating Facebook more often. Christine Clancy suggested each Manager submit a list to Debbie McGowan each Friday for upcoming weekend and week.
•  Fitness Center Hours:  checking Fitness Center statistics. Perhaps a Retiree workout session from 12-3pm.
•  Tutoring. Let’s test drive tutoring. Christine and Kevin Clancy are willing to tutor reading, math and French homework for the test drive. H.S. Children will be off the bus between 3:10-4pm. Younger children get off bus between 4-5pm. We can advertise tutoring on Facebook to let both parents and children know. After school tutoring could be provided after 4pm starting the first week in March.
•  Ashley Taggart is willing to work on a Youth Recreation Committee to gather teen’s ideas.
•  Mrs. Kahn discussed safety concerns at the new Recreation Center. Supervision of Children under age 12 will be strictly enforced. Linda Dimitrakakis verified with Tina Corma that the Recreation Center is closed at 11pm during weeknights. Mrs. D. and Diane Armato discussed having the lights put on a motion sensor in the new Recreation Center.  We need to hold parents responsible for unruly children.  Children cannot be left in the 2nd floor hallways alone and unsupervised. 
•  Motion passed: Mrs. D. put forth the following motion: Children under age 12 need to be supervised by an accompanying adult at all times in all Hideout Facilities. The motion was passed unanimously.
•  Mrs. Kahn said someone was hired to manage the Arts Center. Currently ceramics is the only activity going on in the Arts Center.
•  Bob Taggart stated that the Long Range Planning Committee slates a bunch of projects in the coming year.  The Dam: sediment removal will cause damage to Roamingwood Park. Let’s be proactive with Roamingwood Park. LRP is speaking with architects to fix Roamingwood Park after the sediment removal. Mr. Taggart would like the Committee’s opinion. A picnic area could be created there. A beach could not be created there because it’s too close to the dam, which makes it a hazard for swimming. Holiday Park is a little tight on space but Roamingwood Park has a little more additional space. The wetlands behind Brookfield can be further developed as Wetlands for both function and attractiveness.
•  Motion passed:  Mrs. Clancy put forth the following motion: Any major project in the Hideout should be used as an opportunity to evaluate and upgrade our recreational facilities. The motion was passed unanimously.  Mrs. Clancy also suggested for any activity there needs to be a Hideout resident price and a non-resident guest price.
•  Mrs. D. checked out RedBox.com. Only Red Box can determine the freestanding box video rental location.
•  Mrs. D. discussed proposal of putting a Victory Garden at Laurel Park Campground. Mrs. Kahn appointed Mrs. D. and Mrs. Armato to run a subcommittee for the Victory Garden. Under the proposal Hideout members would need to pay to rent a plot of land at the Laurel Park Campground for planting. Mrs. D. will have Debbie McGowan put a post on Facebook and Hideout forum. The ladies will explore this further with Louise.
•  Ed Sparkowski stated that Laurel Park residents are concerned with the security of boats stored at the Laurel Park Campgrounds.
•  Consensus of Recreation Committee is that Hideout rules of not feeding the animals need to be enforced.  Mrs. Armato suggested setting up specific deer feeding stations to feed the deer.
•  Recreation Committee meeting dates will be the following Saturdays: 3/20, 4/17, and 5/15 at 10am. Pam Kahn ended meeting at 12:00pm.

The Hideout would not officially sponsor the babysitting, but it would be a great opportunity for caring, enterprising young teens to give back to the community and make extra money.  Inexpensive Adult Art Classes created to help utilize the Arts Center.
